Most schools order backpacks in June, when the budget is spent and the term is close. That is the month when every other school, district and charity is doing the same thing. Production time does not get shorter in summer, so the schools that get their bags on time are the ones that start in spring.
This guide counts back from bags in hand on 2 August 2027, which works for most UK and US terms. It gives the order-by dates, what to do each month, and how to choose the bag and the logo method. If your term starts in mid-August, move every date about two weeks earlier.
Key dates at a glance
🧪 15 May: samples approved, models and quantities final
✅ 12 June: target date to approve artwork and pay the deposit, about a week of safety
⛔ 19 June: last day for bags with your school logo
📦 12 July: last day for stock bags, more than 100 per model
📦 20 July: last day for stock bags, up to 100 per model
🎒 2 August: bags in hand, ready for the first day

Why the dates are what they are
Every date is our standard lead time counted back from 2 August, using the long end of each range. Only the 12 June target adds a week of safety, for the artwork question that always comes up at the last minute.
| Order type | Lead time | Order by (in hand 2 Aug 2027) |
|---|---|---|
| Bags with your school logo | 30–35 days production after deposit and artwork approval, then 5–9 days delivered duty paid | 19 June (target 12 June) |
| Stock bags, more than 100 per model | 14–21 days door to door | 12 July |
| Stock bags, up to 100 per model | 1–2 business days to dispatch, then 5–9 days delivered duty paid | 20 July |
| Samples | About 7 days, up to five styles in one parcel | By early May, so you can decide by 15 May |
| Free logo mock-up | Within 24 hours | Any time; the earlier, the easier the vote |
One more date to keep in mind: Chinese New Year falls on 6 February 2027. Production slows down around it, so do not plan an artwork approval for late January or early February. Spring is the quiet, easy window.
The order calendar, month by month
January and February: budget and headcount
Get the number of pupils who will receive a bag: new intake, new joiners, staff. Decide who signs off the design, the budget and the payment. Most delays later come from a missing name on this list, not from the factory.
March and April: shortlist and mock-ups
Pick one or two styles from our wholesale school backpacks collection. Send us your crest or logo and we send back a free mock-up within 24 hours, showing the logo on the actual bag. Share it with the people who need to say yes. Then order samples: up to five styles travel together in one parcel and arrive in about 7 days, duty paid.
May: decide
Check the samples with real books and a real lunch box. Fix the model, the colour and the quantity per model by 15 May. If you sell bags through a school shop or give them to new pupils, this is also the moment to agree sizes for different year groups.
June: approve and pay the deposit
We send an artwork proof with position, size, colours and method. Once it is approved and the 30% deposit is in, production starts. Aim for 12 June; 19 June is the last day for bags in hand by 2 August.
July: balance and delivery
The balance is paid before shipping. The bags arrive delivered duty paid, so there is nothing to pay or clear when the boxes reach the school. Stock bags without a logo can still be ordered until 12 or 20 July.

Choosing the bag
A school bag is used every day for years, so pick it like a uniform item, not like a giveaway. A few points we see schools check:
- Size by age. Smaller, lighter bags for primary pupils; a laptop sleeve and more volume for secondary.
- Colour. Navy, black and grey hide wear. Bright colours like yellow are easy to spot on a school trip.
- A clear logo area. A flat front panel or front pocket takes a crest well. Busy prints and many zips leave little room.
- Water resistance. Oxford and nylon fabrics keep books dry on the walk to school.
These are the six styles in the mock-ups below, all from the school range:
- Lightweight Oxford primary school backpack (Lily)
- Custom logo kids school backpack (Dahlia)
- Waterproof top-handle school backpack
- Solid colour junior high school backpack (Hermippe)
- Nylon charity school backpack (Nereid)
- Minimalist nylon backpack (Aoede)
Each product page shows the tier prices: 50–99, 100–249, 250–499, 500–999, 1000–2499 and 2500+ units per model.

Choosing the logo method
The method changes how the bag looks and how long the logo lasts. A logo is possible from 50 pieces per model; the method and its price are quoted per order.
| Method | Best for | Keep in mind |
|---|---|---|
| Embroidery | School crests, secondary schools, uniform bags | Very fine text is simplified; we show it on the proof |
| Screen print | Districts, charities, one- or two-colour logos | Each colour is a separate screen |
| Full-colour print | Primary schools with colourful logos | Works best on a flat front panel |
| Woven label | Academy trusts, a small neat mark | Sewn on, so it suits light, simple bags |
| Leather patch | Clubs, sixth form, a premium feel | Debossed, so it reads quietly; best on plain fabric |

Here is the same navy school backpack before and after: a stock bag, then the bag with a fictional Thornacre Academy crest embroidered on the front panel.

And a bright yellow kids' backpack with a full-colour print, the kind of bag primary pupils are happy to carry:

How many to order
A logo is possible from 50 pieces per model, not per colour, so one model in two colours can share the minimum. A fully custom design, made from scratch for your school, starts at 100 pieces. Some practical points:
- Count the intake, then add spares. New pupils join during the year, and a second small run later costs more per bag than a few extra now.
- Keep it to one or two models. Fewer models means a bigger quantity per model and a better tier price.
- Separate the two orders. If you need a few bags right away, order stock bags now and the logo bags on the calendar above.

Payment and delivery
We work with a pro-forma invoice, paid by bank transfer or Wise. Logo orders pay a 30% deposit to start production and the balance before shipping; small stock orders are paid in full upfront. Every order ships delivered duty paid: the price on the pro-forma includes freight, duty and import charges to the school's door. The freight is priced by our forwarder after packing, so it is confirmed on the pro-forma rather than guessed in advance.
Five mistakes that push orders past the start of term
- Waiting for the summer budget. If the money is only released in July, order the logo bags in spring with the deposit and plan the balance for July.
- No vector logo. Ask the person who designed the crest for an AI, EPS, PDF or SVG file now. A PNG is fine for the mock-up, but the proof is faster with a vector.
- Too many people on the approval. Name one person who signs the artwork proof.
- Skipping samples. A week for samples is cheaper than a term with the wrong size bag.
- Forgetting Chinese New Year. An approval in late January can lose weeks. Approve in spring instead.

50 pieces per model. A fully custom design starts at 100 pieces.
